Getting your whole family on the same schedule sounds simple. In practice, it gets complicated fast — your spouse uses Google Calendar, your parents have iPhones, and the kids' school sends PDF newsletters nobody actually reads. Here's how to actually make it work.
Option 1: Share a Google Calendar
If everyone in your family uses Google Calendar (or is willing to), this is the most straightforward approach.
How to share a Google Calendar with a family member
- Open Google Calendar on your computer at calendar.google.com
- In the left sidebar, hover over the calendar you want to share and click the three-dot menu
- Select Settings and sharing
- Scroll to Share with specific people or groups
- Click Add people and groups, enter the family member's Gmail address, and choose their permission level
- Click Send
They'll get an email invitation. Once they accept, the calendar appears in their Google Calendar automatically and stays in sync.
Permission levels explained:
- See only free/busy — they know when you're busy but can't see event names or details
- See all event details — they can see everything on the calendar
- Make changes to events — they can add and edit events
- Make changes and manage sharing — full access
For a family calendar where multiple people need to add events (soccer practices, school pickups, appointments), give everyone "Make changes to events."
The limitation
Everyone needs a Google account. That's fine for most families, but if grandparents are on iPhone or a family member refuses to use Google, shared Google Calendar stops working for them.
Option 2: Share an Apple Calendar
If your family is all on Apple devices, you can share calendars through iCloud.
How to share an Apple Calendar
On iPhone or iPad:
- Open the Calendar app
- Tap Calendars at the bottom
- Tap the info button (ⓘ) next to the calendar you want to share
- Tap Add Person and enter their iCloud email address
- Tap Add
They'll get an invitation and the calendar will appear in their Calendar app once accepted.
On Mac:
- Open Calendar
- In the sidebar, hover over the calendar and click the broadcast icon
- Enter the person's iCloud email and click Done
The limitation
This only works between Apple devices using iCloud. If anyone in your family is on Android or Windows, they can't subscribe to your iCloud calendar without jumping through significant hoops.
