How to Subscribe to an Outlook Calendar in Google Calendar

If your organization runs on Outlook and you prefer Google Calendar, or if you just want your work and personal calendars visible in one place, you can subscribe to an Outlook calendar from Google Calendar — and vice versa. Here's how both directions work.

Outlook → Google Calendar

Step 1: Get the iCal URL from Outlook

The method for finding your Outlook calendar's iCal URL depends on whether you're using Outlook.com or Outlook desktop connected to a Microsoft 365 account.

From Outlook.com:

  1. Sign in at outlook.com
  2. Click the calendar icon in the left sidebar
  3. Right-click your calendar (or click the three dots next to it)
  4. Select Sharing and permissions
  5. Under "Can anyone view when you're busy?", toggle sharing on
  6. You'll see a link — copy the ICS link (not the HTML link)

From Outlook desktop (Microsoft 365):

  1. Open Outlook
  2. Go to FileAccount SettingsAccount Settings
  3. Click the Internet Calendars tab — this shows calendars you're subscribed to, but your own calendar's URL isn't exposed here
  4. Instead, go to FileOptionsCalendarPublish My Calendar

If the publish option isn't available, your organization may have restricted calendar publishing. In that case, ask your IT administrator whether external calendar subscriptions are permitted. Some corporate Outlook setups lock this down entirely.

Step 2: Add the URL to Google Calendar

  1. Open Google Calendar in a browser (the mobile app doesn't support adding calendars from URL)
  2. In the left sidebar, click the + button next to "Other calendars"
  3. Select From URL
  4. Paste the iCal URL you copied from Outlook
  5. Click Add calendar

The Outlook calendar events appear in Google Calendar within a few minutes. Google Calendar syncs subscribed calendars periodically — usually every few hours. Changes in Outlook show up in Google Calendar after the next sync.

Important limitation: this sync is one-way

Subscribing to an Outlook calendar in Google Calendar is read-only. You can see Outlook events in Google Calendar, but any changes you make in Google Calendar don't write back to Outlook. To edit an event, you'd need to do it in Outlook directly.

Google Calendar → Outlook

The reverse is also possible — subscribing to a Google Calendar from Outlook.

Step 1: Get the iCal URL from Google Calendar

  1. Open Google Calendar in a browser
  2. In the left sidebar, find the calendar you want to share and click the three dots next to it
  3. Select Settings and sharing
  4. Scroll down to the Integrate calendar section
  5. Copy the Secret address in iCal format link (use this for private calendars) or the Public URL to this calendar (only works if the calendar is set to public)

Step 2: Subscribe in Outlook

In Outlook.com:

  1. Click Add calendar in the left panel
  2. Select Subscribe from web
  3. Paste the Google Calendar iCal URL
  4. Name the calendar and click Import

In Outlook desktop:

  1. Go to FileAccount SettingsAccount Settings
  2. Click the Internet Calendars tab
  3. Click New, paste the URL, and click Add
  4. Name the subscription and click OK

Again, this sync is one-way: Google Calendar changes appear in Outlook, but you can't edit them from Outlook.

When neither option works

A few situations where direct calendar subscription falls short:

  • Corporate Outlook blocks external publishing — many organizations restrict this for security reasons
  • You need two-way sync — subscriptions are always one-way; true two-way sync requires a third-party tool
  • You have a schedule in a PDF or image, not a calendar URL — subscriptions only work with iCal URLs, not documents

Troubleshooting

Google Calendar shows "Could not fetch the URL" The Outlook URL may require authentication. Outlook.com's ICS share links are public by design, but check that you copied the ICS link and not the HTML view link.

Events aren't showing up after adding the URL Give it up to 24 hours — Google Calendar's sync interval for subscribed calendars can be slow. There's no way to force an immediate refresh for subscribed calendars in Google Calendar.

Outlook subscribed calendar won't refresh Right-click the calendar in Outlook's sidebar and choose Refresh. If that fails, delete the subscription and re-add it with the same URL.
