The season schedule comes out and it's a PDF attachment in an email, a photo someone snapped of a whiteboard, or a list of dates in a group text. Now you need all of those game days and practice times in your calendar before you forget about them. Here's how to do it.
Option 1: Add events manually in Google Calendar
If the schedule is short — say, five or six games — adding them by hand isn't terrible.
- Open Google Calendar.
- Click a date on the calendar to create an event.
- Enter the event name, location, start time, and end time.
- Click More options if you want to set a reminder.
- Click Save.
- Repeat for every game and practice.
For a full season with 15+ events, this gets old fast. You're also doing it manually for every person on the team who needs the schedule, and if the coach changes a game time, there's no automatic update — you have to edit each event yourself.
Option 2: Ask the coach for a Google Calendar link
Some coaches create a shared Google Calendar for the team and send out an invite link. If that's available, it's the easiest route.
To join a shared Google Calendar someone sent you:
- Click the link the coach sent. It should open Google Calendar automatically.
- Click Add when prompted.
That's it — the calendar syncs automatically and you'll see any updates the coach makes.
The catch is that most coaches don't set this up. They send a PDF, a spreadsheet, or a photo. If that's your situation, keep reading.
Option 3: Use CalHelper to create a subscribable feed
This is the fastest option when you have a PDF, image, or text schedule, and it works for everyone on the team — not just you.
How it works
- Upload the schedule. Go to CalHelper and upload the PDF, paste the text, or take a photo of the paper schedule.
- AI extracts the events. CalHelper reads the schedule and pulls out each game, practice, and event with the correct date and time.
- Review and confirm. You get a chance to check the extracted events before anything is saved.
- Get your feed URL. CalHelper gives you a shareable link — an iCal URL — that anyone can subscribe to.
Subscribe in Google Calendar
Once you have the iCal URL from CalHelper:
- Open Google Calendar on your computer (not the mobile app).
- On the left sidebar, click + next to Other calendars.
- Select From URL.
- Paste the CalHelper feed URL and click Add calendar.
The entire schedule appears in your calendar. Google syncs the feed periodically, so if you update the feed in CalHelper (for example, if the coach sends a revised schedule), the changes flow through automatically.
Sharing with the whole team
The same feed URL works for every parent on the team. You can text it to the team group chat or email it to the parent list. Each person adds it to their own Google Calendar, Apple Calendar, or Outlook — they don't need to sign up for anything.
That's a lot better than attaching a PDF to an email and hoping people remember to check it.
Adding the schedule to Apple Calendar or Outlook
The same iCal URL you get from CalHelper works across all major calendar apps, not just Google Calendar.
Apple Calendar (iPhone): Go to Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar. Paste the URL.
Apple Calendar (Mac): Open Calendar → File → New Calendar Subscription. Paste the URL.
Outlook: Open calendar view → Add calendar → Subscribe from web. Paste the URL.
Why this matters for game day
When the schedule is in your calendar, you get reminders automatically. You don't have to dig through email to find the PDF again. Your phone buzzes the morning of the game. Your family can see the schedule without asking you to forward it.
