You have a sports schedule — maybe a PDF from the league, a screenshot, or a link someone texted you — and you want it on your iPhone so you get reminders before games. Here's what actually works on mobile.
If you have an iCal subscription URL
This is the cleanest option. An iCal URL is a link that your iPhone Calendar can follow to automatically load and sync all the events. If your league website, team app, or coach sent you a URL (usually ending in .ics or labeled as a "calendar subscription"), here's how to add it:
- Copy the iCal URL
- Open Settings on your iPhone
- Tap Calendar
- Tap Accounts → Add Account → Other
- Tap Add Subscribed Calendar
- Paste the URL and tap Next
- Tap Save
The schedule appears in your iPhone Calendar within a few seconds. Events update automatically if the schedule changes.
Note: You need to do this in Settings, not in the Calendar app itself. The Calendar app on iPhone doesn't have an "add subscription" option in the main interface — it's hidden in Settings.
If you have a .ics file
Some scheduling tools let you export the schedule as a .ics file rather than a live URL. A .ics file is a one-time copy — it loads the events but won't update if the schedule changes later.
To import on iPhone:
- Open the
.icsfile from your email, Messages, or the Files app - Your iPhone will prompt you to add the events to Calendar
- Tap Add All
If tapping the file in Files doesn't trigger the prompt, try opening it from your email app — Mail and Gmail both handle .ics files well.
If you have a PDF, image, or paper schedule
This is the most common situation. The coach posted a PDF in the team group chat, or you took a photo of the schedule posted at the field. Neither of these is an .ics file, so you can't import them directly.
Your two options:
Option A: Enter events manually. Open Calendar, tap the plus button, and add each game one by one. For a short schedule this is fine, but a full youth sports season with 15+ games and weekly practices takes 20–30 minutes and is easy to mess up.
Option B: Use CalHelper. Upload the PDF or photo, and the AI extracts all the events automatically. You get a shareable iCal URL you can subscribe to on your iPhone — same steps as the subscription method above.
Here's how it works:
- Go to calhelper.com on your phone or computer and sign up free
- Tap Import and upload the PDF, image, or paste the schedule text
- The AI reads the schedule and extracts every event with correct dates and times
- Review the events — make any corrections needed
- Tap Share to get your iCal URL
- Add the URL to your iPhone Calendar using the steps above
The whole process takes under two minutes for a typical season schedule.
What works on mobile vs. desktop
A few things work better on desktop:
- Subscribing to a URL works on both — same steps, just in Settings
- Importing a .ics file is easier on iPhone from email, tricky from Files
- Creating an iCal feed from a PDF is easier on desktop but CalHelper's mobile site works fine
If you're at the field and just took a photo of the posted schedule, CalHelper's mobile site lets you upload it directly from your camera roll.
Sharing with other parents on the team
Once you've created an iCal feed in CalHelper, the URL works in any calendar app — not just iPhone Calendar. Other parents on the team can add the same URL to their Google Calendar, Outlook, or Android calendar. No one needs to download a new app or create an account.
Just copy the URL from CalHelper and send it in your team group chat. Parents click it, their phone asks which app to add it to, and they're done.
