If your school sent home a paper calendar or a PDF, it's not going to remind you about early dismissal days on its own. Getting those dates into Apple Calendar means you'll actually see them when you're planning your week — and get a reminder before they sneak up on you.
Here's how to do it, depending on what your school provides.
If your school provides an iCal subscription link
Some schools publish a live calendar feed with a .ics URL. This is the best-case scenario — you subscribe once and events stay updated automatically.
To add a subscribed calendar on iPhone:
- Open the Settings app
- Scroll down and tap Apps, then Calendar
- Tap Accounts
- Tap Add Account
- Tap Other
- Tap Add Subscribed Calendar
- Paste the school's iCal URL and tap Next
- Confirm the details and tap Save
The school calendar will appear in your Apple Calendar app as a separate calendar. Events show up alongside your personal events, and if the school updates their calendar, your copy updates automatically.
How to find out if your school has an iCal link
It's worth checking before assuming they don't. Look for:
- A "Subscribe to calendar" link on the school website
- A calendar icon or button on the school's events or news page
- An email from the school at the start of the year with subscription instructions
If the school uses Google Calendar and has made it public, you can also find the iCal URL in their Google Calendar's sharing settings.
If your school only provides a PDF or image
Most schools send a PDF at the start of the year — a grid with all the holidays, events, and early dismissals laid out. That PDF is accurate, but it can't remind you about anything.

If you only have a few dates to add
Sometimes the school sends a short list — just the holidays and early dismissal days — and the total is ten or fifteen dates. In that case, manually adding them one by one might be the most practical option.
To add an event manually in Apple Calendar:
- Open the Calendar app
- Tap the + button in the top right
- Enter the event name, date, and time
- Optionally add an alert so you get a reminder beforehand
- Tap Add
Manual entry makes sense for a handful of dates. If the list is longer than about a dozen items, a subscribed calendar saves time and reduces the chance of typos.
Setting up reminders for school events
Once school events are in Apple Calendar, you can make sure you get reminded ahead of time.
For subscribed calendars, each event comes with default reminder settings. You can adjust these globally:
- Open Settings → Apps → Calendar
- Tap Default Alert Times
- Set alerts for All-Day Events (e.g., 1 day before)
For individual events you added manually, tap the event → Edit → Alert to set a custom reminder.
Early dismissal days are the ones most worth setting an alert for — they're easy to forget and the timing matters.
Keeping the school calendar separate from your personal calendar
If you subscribed to the school's iCal feed, it already exists as its own calendar in Apple Calendar. You can give it a distinct color to make school events easy to spot at a glance.
Tap Calendars at the bottom of the Calendar app, find the school calendar, and tap the info button to change its color.
If you want to share the school schedule with your partner or co-parent, you can send them the same iCal URL and they can subscribe on their device too — no setup on your end required.
